The Challenge
Residential care teams were relying on complex manual spreadsheets to calculate occupancy and capacity. Over time different areas of the business had developed different definitions of core metrics such as financial occupancy and physical occupancy which made reporting inconsistent and difficult to trust.
The process was time consuming and error prone and required significant manual effort to maintain. This reduced confidence in the figures and slowed down decision making.
The Solution
Flow Data worked with stakeholders across the organisation to define clear agreed meanings for key measures such as occupancy and capacity.
We then automated complex calculation logic that had previously lived in a master spreadsheet and embedded it into a structured data model. This allowed live occupancy reporting to be delivered through Power BI.
This approach removed the need for manual processing and ensured that different views of occupancy could be reported accurately and consistently from a single source of truth.
